Business Contacts
As an independent practitioner, it is important for me to keep in touch with my contacts and to comply with GDPR legislation. For each business contact, I store their name, role, company name, address, phone number and email address on a system, and may add brief notes about their interests and requirements. I may email a small number of contacts up to four times per year, to update them on the service I provide and my availability for work, but only where the individuals have agreed to receive these email messages or if I judge that they are very likely to be interested in the service I offer. I retain email addresses of business contacts for two years after the last communication from them. Under the GDPR, you have the right to see your record, to correct any errors, and to ask for your details to be removed. I will be happy to comply with your wishes in these respects.
Media Contacts
I keep lists of media contacts so that I can send news and editorial suggestions from my clients. I only send information that I believe is relevant to your publication and useful for your work. For each new client, I will consult you to ask whether you would like to receive material relating to them. I store the editor’s name, role, publication, address, phone number, email address and brief notes. Sometimes, some of the details I hold are shared with a client company during the course of our work. If the details I hold about you are not accurate or have changed, please tell me and I will correct them. You may of course “opt out” at any time. If you do not wish to receive news and information from a particular company I work with, or if you want your details to be removed from the media list completely, please tell me and I will happily comply with your wishes and instructions.
All Contacts
I value my working relationships very highly. Please be assured that your contact details are stored in a secure system and will never ever be sold or shared with any other person, business or organisation. You may complain to the ICO if you think there is a problem with the way I am handling your data.
